What information is needed to begin booking online?
If you are a travel agency you need a valid IATA code, and the user's first name are required in order to reserve a booking or hold a quote on romanticatours.com


Can multiple users from the same agency access romanticatours.com at the same time?
Yes. There are no restrictions on the number of users that may access romanticatours.com at the same time using a common IATA number. However, each user must sign-on with their individual first name for invoicing and contact purposes.


Are minimum software requirements needed in order to use romanticatours.com?
Romantica Tours recommends use of the following for optimal graphic resolution and navigational performance:
PC users: Windows 95/98/ME/NT/2000, Internet Explorer 5.0 and above, screen resolution 1024x768, 16-bit color.
Macintosh users: OS 8 and above, Internet Explorer 5.0 and above, screen resolution 1024x768, thousands of colors.


Can amendments be made to an online booking after deposit has been applied?
Yes. At any time prior to full payment, including after deposit has been applied, Romantica Tours permits unlimited amendments to any booking as long as the amendments are made online. The exceptions to this policy are items with non-refundable deposit requirements such as Eurostar and other high-speed rail products, Ticket museum and any kind of entrance fee to public sites.


Can amendments be made to an online booking after full-payment has been applied?
No. After full payment has been applied, amendments to any booking will incur applicable fees or penalties as stated in Romantica Tours Terms & Conditions.


Can bookings initiated online be accessed and amended via Romantica Tours FIT Reservations Call Center?
Yes Romantica Tours FIT Reservations Call Center can easily access and amend any active booking or quote in our system regardless of how it was originally initiated. Additionally, any amendments facilitated by Romantica Tours staff are instantly made available to view online as well.


Can bookings initiated via Romantica Tours FIT Reservations Call Center be accessed and amended online?
Yes. In the reverse situation to the previous question, users can easily access and amend any active booking or quote online, regardless of how it was originally initiated, by login with your credential from the main menu.


Are service-only bookings allowed online?
Yes. Aside from hotels, escorted tour and selected high-speed rail products, Romantica Tours is pleased to offer sightseeing, transfers, rail, cooking classes, private drivers, private guide, museum reservations car rental services and other services with no restrictions or minimum hotel requirements as long as they are booked online.


Are 10 passengers or more considered as Group or as FIT?
A maximum of 9 passengers is allowed on our FIT contracts. If multiple FIT bookings are made for passengers arriving on the same day at the same hotel, and the total number of passengers is 10 or more, we reserve the right to transfer these bookings to the Group Department.


How are online bookings invoiced?
Romantica Tours will forward all invoices via e-mail based on the booking user profile within our database. If no e-mail address is known, the invoice will default to a fax version or mail.


Do online bookings require immediate payment?
For bookings made online within 3 weeks of US departure, deposit must be applied immediately in order to complete the reservations process and full payment will be due immediately upon confirmation. For all other bookings, deposit will be due within 48 hours of confirmation and full payment no later than 45 days prior to US departure.


How are vouchers and other travel documents handled for online bookings?
Romantica Tours offers e-mailed vouchers for any booking paid in full. For any booking that requires documentation in addition to e-mail vouchers, ALL documents and vouchers for the booking will be delivered via US Mail or an "express" shipment service.

Please read carefully the following notes about your documents:

Vouchers: Once you receive your vouchers, please review them to ensure that they are in agreement with your request and advise any discrepancies immediately. It is imperative that you retain voucher copies and present them to suppliers in Europe to receive prepaid services. Also, vouchers list local telephone numbers in the event of flight delays and other changes, IN WHICH CLIENTS SHOULD ADVISE HOTELS/SUPPLIERS DIRECTLY OR CALL OUR 24/7 EMERGENCY PHONE NUMBER. SERVICE WILL NOT BE REFUNDED IN CASE OF NO-SHOW.

Train tickets/Passes: Please note that seat reservations, if applicable, are non refundable. Passes are generally refundable, less a cancellation penalty. Our office in Rome will issue tickets/seat reservations and deliver them to your first hotel.
If on arrival you will take the train immediately, we will give them to the driver who will conduct the transfer or mail them to you prior to you departure.

Rental cars: Please consult the rental car coupon for details on the car company that has been booked (usually Maggiore). You should present the confirmation number listed on the coupon upon arrival at the counter. In the case of Maggiore, our Rome office has already sent a voucher to the rental car office. Our USA office cannot issue rental car vouchers for Maggiore here in the States. We issue them from our Italy office to take advantage of lower prices reserved only for the European market.

Tours & services: In certain cases, additional vouchers for individual sightseeing tours, transfers, special services, and train/air tickets will be issued in Europe and presented upon arrival at your first hotel. If this is the case, it will be clearly noted on your itinerary. For more information please call our Rome office upon arrival in Italy.
